locate a phone # and call the msc. Has to be a way to reach
them somehow. If you contact your bank they will do a chargeback
and that will go directly back to the hotel...Going out on
a limb here is the client is waiting to reverse it to October so they
can keep the revenue on the quarter that ends tomorrow to prop
up their numbers which may be borderline.

Just email weekly until the charges get reversed.

For me, it sometimes takes up to 5 business days for a reversal to post on my cards, so wait a week before you contact them about it.

I have had some hotels take a month or so to process the reversals and an one occasion had to ask 3 times for the reversal. You will eventually get it worked out.

I wouldn't do hotel shops like that to begin with
as the value is not there with an adequate return
on my time. Having to chase after a reversal is not
on my list of ways to use my time wisely.

Look on the bright side if they don't reverse it,
you can write it off as a business expense.

You've done successful shops and reports for the MSC before, yes?

Probably just a paperwork issue, complicated by the double whammy of EOM/EOQ.

I wouldn't contact the client (hotel). Keep an email trail going.

Who is the MSC? As long as you're not naming the client, someone's probably got phone contact info out here.

Most MSC's state in their observation details that the shopper should not contact the hotel directly for reversal of charges.
Think the shopper was contacting the shopping company not the hotel.

Who will pay interest charges if the amount isn't reversed prior to your bill due date, Shop2?
I would not lose sleep worrying about the reversal for this particular msc. It will be taken care of. You can call him using the same number you text him. Leave a vm and he will call you back, if he doesn't pick up.

@traveliz, you know this msc owner quite well also. He will take care of it.

Same thing happened to me with a certain MSC, however, after one month I received a check for all the charges.

I don't think the interest would be that high anyway by the time it's sorted out. I am sure you will get it reversed and that maybe MSC is experiencing some kind if oaperwork or tech issue. Keep us updated!

It is frustrating to wait for pay and it gets me anxious but it has always come thru. I was fortunate not to work for Freeman but all of my companies have paid. Sometimes it takes a little too long but they do have a reputation to maintain so it was probably just some paperwork problem.
Regarding interest on the charge; I have had the credit card companies charge interest when the charges remained over my due date.

On one occasion for a particularly expensive hotel, it was a sizable interest charge and so I called the credit card company and explained that the charge had been removed from the card. They refunded the interest charge without any further discussion.

I have had reversals take as long as six weeks. When I inquired (I hadn't been paid yet, and was worried because the shop hadn't gone exactly as planned)... I was told that sometimes the client reverses charges in batches, particularly when they've had a high volume of shops performed at that time.

Now that I am thinking about it, it was around this time of year. Do you maybe think it has something to do with their fiscal year ending, so pushing out a high volume of shops before then, and then reversing the charges in batches once they've cleared up their profit/loss on it?

Sometimes the managers really drag their heels on reversals. I know they will often get incentives for booking a certain amount of rooms or having the highest occupancy rate in a group of hotels. On a few occasions, I have had the hotel pay the MSC directly (who in turn reimbursed me) when it was supposed to be a reversal, so it's possible there may be other factors at play than just being slow.
I performed a hotel shop on August 21. It has not yet been reversed. On Monday, 9/29, I emailed the scheduler. I did not receive a response, so I sent it again on Friday, saying I was following up to see if the email had been received. This is the response:

"I sent this to the sales rep. Unfortunately we have no control over when xxx hotels reverse the folio. It is usually within 7-10 days. Have a great weekend."

Ok, if it's usually 7-10 days and it's been 44, should I be expecting a little more help with this?

I can empathize with Shop2. I conducted a telephone shop in which I was directed to schedule a stay, then, call back the next day to cancel the reservation. The hotel had assured me that they would not charge my credit card until the actual stay.
I made the reservation during one month, scheduling my stay the next month.

I called to cancel and they could not find my reservation initially. The hotel employee advised me to call during the day and speak with a supervisor; I told her that I would. Later, she called me (in the middle of the night, but still her shift) and left me a voice mail that she had located the reservation and cancelled it. Something made me call the hotel the next day to confirm the cancellation. Again they could no find any trail.

Then, after my persistence, they shared that they had located the reservation and that my credit card had been charged as a "no-show." I almost went ballistic. I asked how that could happen when the reservation was in late October and the call had been made in late September. She nonchalantly explained that when I had made the call, the reservation agent had made the reservation for the SAME NIGHT as my call. I asked to speak to the supervisor, telling the agent that the deal was unacceptable. The agent conferred with her supervisor, then, advised me that the charge had not been sent through to the credit card company.

I notified the MSC scheduler of the situation. The reservation call, fortunately, was recorded so my requested and confirmed date was clearly heard on the audiotape. I told my MSC scheduler that if the hotel did not honor their promise that I might have to call them in for back-up.

I've been keeping an eye on that credit card and the charge has not been posted. Thank the Lord!
