Missed receipt and photo on CRI gas station shop

Did my first gas station shop for CoRI yesterday. Tried to be very organized about it, took all the pump pictures in order, two pics per pump. Somehow when I copied the pics to my computer so I could add the date and time (that my camera had been set up to apply the night before but must have reset itself at some point... grr) I missed copying the pics for pump 5. Going through the report I couldn't believe I had missed it. Figured I'd have to go re-shoot that pump today. In the night it occurred to me to check the camera's memory card, and sure enough, there they were. So I have time stamped them and can send them, but the report is closed and there is only a link to "upload receipts" available.

But I also failed to get (or lost) the receipt from buying the soda! I know I was distracted because the guy wasn't wearing a name tag and wasn't wearing a uniform and I was trying to see if maybe there was a name tag under his sweater. My mind is a complete blank regarding whether he gave it to me and I dropped it or if he laid it on the counter and I didn't pick it up or what happened to it. Or if he didn't give one at all. But I absolutely do not have it.

Well, they have tagged me on the receipt and told me I have 24 hours to upload it.

Have I simply blown this shop or do you think will they accept a receipt from today? The email was a no-reply so I'm not even sure how to get hold of them to explain and ask. I can go there today and buy another soda easily enough; at least this was a local shop.

99.9% of the time they are unforgiving. They will red line it shopper's error. Sometimes, that 0.1% of the time they will contact you for the info and pic. But if you don't have a receipt, don't count on it being accepted. Maybe if you contact the scheduler they will changed the date and let you do the whole shop again..pics and all. I have had this happen once, but for a different client. Sorry....I guess you can be glad you got the experience? Right? smiling smiley
A receipt from today won't cut it. If you contact them they will allow you to go back and, like SAM said, you will have to complete the entire audit again.

Yeah, I just read their FAQ's and it basically says, "Sorry, Charley."

At least it was local. But it really ticks me off that they could be like that when the clerk doesn't give you a receipt and making a fuss about a 99 cent receipt will flag us as shoppers.

I'm actually pretty certain he didn't give it to me. He gave me the 1 cent change and I dropped it in the little bowl there. If he had handed me a receipt I would have put it right into my purse along with the penny.

I sent them a message, I guess that's all I can do. They had trouble getting this shop done at all; I think I may be the only shopper in this town.

Doesn't it blow the notion of the mystery shop portion of the audit if you do it again after doing the reveal?

Certainly it does. If the employee recognizes you and does everything right what can you do, it is the client and/or MSC that seems to think it all makes sense.

Asking for a receipt does not flag us as shoppers. It is one of those things that we think is so unusual and it really isn't. I have to ask for a receipt at my local Circle K because some of the employees will not offer it even on a credit card transaction. One of the employees was always rude and his attitude never changed after I asked.

I hate that happened to you. Those stations for CRI will get easier with repetition. Here are a couple of suggestions for your consideration. Develop the habit of asking for a receipt on every transaction you have, whether mystery shopping or not. As a store policy, most stations do not automatically give a receipt. As I hand over the money or swipe my card, I say, "And I'll need a receipt on that, please." For the pictures (and receipts) I check off a tick list of what I need before I leave the station. Sometimes it's hard to read the pump numbers and that can be confusing, especially if you had to jump around out of order on the pumps. I made up a set of numbers from stick on house numbers and I put a number on the pad at the bottom of each pump. They've never objected to my propped up house number. It's much easier to see, especially in the camera.

i always pay for both inside and get both receipts after reveal. They can reprint any receipt they need too.

I thought we were supposed to pay for gas at the pump?

On the CRI stations I shop in Texas, I pay at the pump but I could pay inside. The report I do asks for one receipt for both, or one receipt for each. I pay outside because I feel obvious buying $1.00 at the counter, but I've had to buy the gas inside when the pumps wouldn't take a card. Usually when I'm doing those CRI stations I have them stacked up on a route, and I don't have room for more than about $1.00 a shot in my little car.

I know they have a place for one receipt, but was under the impression it would be used only if a receipt could not be obtained at the pump. It certainly would be easier to pull out a card once and just have one receipt to photograph and upload.

Not to mention a small time saver. After several that small amount of time adds up -at the pump and upload time. smiling smiley

I may have to rethink how I have been doing these. Have always bought separate, but if I don't have to, I'm not going to.
Bummer your first gas station shop for CRI didn't go so well, ItsASecret. Don't beat yourself up about it. I betcha more than a few of us have durfed one of these before.

One thing I have learned the hard way is to not get too worried about obtaining the employee name and description and other details when I am am doing the unrevealed part of the assignment, because I know I will be going back in anyway to present the letter of authorization and can note all that info at that point. I just concentrate on getting that receipt.

I do the same with my receipts. I use the picture of the receipts to mark the beginning of a series of pictures on my camera for each gas station shop, which comes in handy when doing multiple locations in one day.

Techman, thanks for the tip. That had occurred to me, but I was too chicken to go for it. Now I know they'll accept both of them on the same shot/scan.

I take my pic of the pump receipt immediately because it serves to mark the start of a new station and it is so small I'm afraid it will get lostsmiling smiley

I return to my vehicle with my receipt from inside, and take a picture of it side by side with the pump receipt. This marks the start of the series of pictures for the location. Then I do the reveal, get the letter of authorization signed, and complete the rest of the audit. When done, I return to my vehicle again and staple those receipts to the bottom of the letter of authorization for safekeeping. I then take a pic of the loa to mark the end of the series of pictures for the location. This also gives me a backup pic of the receipts just in case, and helps me to remember which loa corresponds with which location. This is very helpful when doing multiple locations.

I only take the receipts pics at the end. Sometimes I take restroom pics before getting the receipt. No sense going back in if the restroom is on the inside. time is money.

Don't fret about it Secret. Email the scheduler and ask if you can reshop it. Something similar happened to me once with Cori and the gas station shops, and by the time they let me do the reshop, the fee had gone up...Yeah! Go figure...
They're allowing me to reshop it today. Should only take 15-20 minutes because the place was pristine and in good repair so I only had a couple of "no" pictures -- a damaged end rail, a dirty trash can, and a missing squeegee. Everything else was pumps. All the CC's were where they belonged and current, I have the list of the oil brands already.

I'll head out in about a half hour. Sigh. Well, I won't make THOSE mistakes again, anyway!

Maybe they'll have their nametags on today.....

IT was a breeze -- in and out in 30 minutes this time, and I had to wait for two customers to get out of the way of the pump or I would have been out even sooner.

now I just hope when I go to do the report I won't discover that one of the pictures was blurred or something like that.....

Take the picture of the pump from angle if there is a car in the way. As long as they can see the POP on top it is fine.

And you should set your camera to 3 second review so you can see if the picture is blurred right then and there...

WOW, so many good tips! I love the side by side receipts in one pic. Who knew? I know that not everyone has a lap top. I do & it is a time saver for me. I upload the pics after each shop, name a file for them, as well as put a name to each pic. LOA, CURB, NO CAN POP, etc... When I do 13 or 14 shops everything is ready to go into the report. Because I don't see the seasoned shoppers doing it this way, I am wondering if I am doing it wrong. I spend an extra 3-5 minutes on the lot. This also assures me I have all the pics I need, and they are good shots.
If there are cars in the way, I'll take all the other pump photos and then start recording the POP information, then photograph and record any deficiencies so that it keeps me around the pumps and I can step in to get the photo before another car pulls forward. I also put a check mark in the margin next to each pump number on the pumps page of the report so that I know which ones I'm still waiting to get. If after everything else is done, outside, and then inside, and I'm still waiting on a pump, then I'll take it from an angle and document it. An editor should be able to see it's legit because the vehicle would have had to have been there my whole visit and thus would appear in the overall photo.
Taking the photo of receipts right before the reveal both marks the start of the series and ensures the presence of both receipts.
I'm really glad Secret got the re-do. Good job, CORI.
Now I can't upload the new receipts. The reset the report but didn't strip out yesterday's receipt.

I emailed the person who allowed me to do the re-shop and sent her pics of the receipts and also contacted them through the site. Don't know what else to do.

The last car that was in the way was pulling a trailer. After she was done pumping her gas she gave no indication she was leaving anytime soon (passenger was in the store) but I noticed the tongue of the trailer was exactly in front of the pump so I stepped between the trailer and car and got straight-on shots that way.

I actually liked the shop -- it was pretty easy except for my own screw ups.

And today's was easier to process since I managed to get my date/time feature on the camera to work right so I didn't have to run all the pics through software to put it on there. Took less than an hour to redo the report, upload the pics, review everything THREE TIMES . . . and then wonder why it hadn't asked me for the receipts this time....

I do that for most revealed audits. It saves me from having to worry about photo quality or missing photos. The extra 3-5 minutes on the lot is 3-5 minutes I'm not spending renaming and organizing stuff at home. The transfer and photo sorting have to be done either way, so I figure I might as well do it at the station where I can hop back out of the car if I need another photo of something.
